Employment Practices and Procedures
- Announcement of all vacant positions will be on the Colquitt County School District web page. Anticipated classified vacancies will be posted for seven (7) working days subsequent to the date of the announcement. All certified positions will be posted for 15 calendar days except when a vacancy occurs during a school year. During a school year, certified positions will be posted for a minimum of five calendar days.
- All advertisements or materials for employment will contain the following: “The Colquitt County Board of Education does not discriminate on the basis of race, color, national origin, age, religion, sex, or disability”.
- Employment application forms and other personnel records will comply with the federal and state laws as well as board policy.
Transfers of employees within a school can be made at the discretion of the supervising principal. An employee may request a transfer to another location or type of position following the District Voluntary Lateral Transfer procedure.
The Voluntary Lateral Transfer Requests procedure requires a current employee to identify during a specified period if they want to be considered in the event a position becomes available at another location. If an employee wants to be considered for a lateral transfer, they will notate that interest on the electronic form. When requesting a transfer, this is solely for lateral transfers (teacher to teacher, bookkeeper to bookkeeper). This does not guarantee a transfer will occur; it just allows an employee to be considered internally for open lateral positions by school administrators. Employees are free to express interest in positions that represent a promotion and are different from their current position at any time such positions become available.
Please note: Certified employees currently on a Professional Development Plan (PDP) and/or not possessing a clear certificate (such as a TAPP candidate) are ineligible to participate in the transfer process and should not select that on the form. Certified employees requesting consideration for transfer must currently hold the certification required for the desired level (elementary, middle, high) and/or subject area.
The Voluntary Request for Lateral Transfer will be included in the electronic Letter of Intent request in January of each calendar year and must be received by January 31st.
Transfer or reassignment of certified personnel will be made by the close of business on May 1st annually except to fill vacancies created by illness, death, or resignations; to reduce or increase personnel because of a shift in school population; to make personnel adjustments after consolidation or merger, or to assign personnel according to their area of certification.
General Procedures
- All available position openings are posted online. Applicants must apply for a specific position through the online employment portal.
- Assistance with using the portal is available through the Human Resources office.
- Not all applicants may be chosen for an interview.
- Recommendations for transfer may not be submitted until approval is granted by supervising administrator.
- Employment may not begin without Board of Education approval unless an emergency waiver is approved by the Superintendent.
Application Procedures
Step 1: Applicants must submit a completed employment package online and apply for a specific open position. Attachment of application to a position category does NOT constitute applying for a specific position. A completed package contains:
- A completed Colquitt County School District online application.
- A list of three or more references with active phone numbers for each.
- A copy of a current or expired teaching certificate(s) or an official college transcript(s).
- Verification of prior teaching experience.

Step 2: Principals/Directors will review the online master list of eligible applicants including requests for transfer from other schools. Principals/Directors may select candidates to interview from the master list.
Step 3: When an employment decision is made, the Principals/Directors will complete a Recommendation for Certified Employment form or a Recommendation for Transfer form and send it to the Human Resources Department.
Step 4: The Human Resource Director will prepare a list of recommended applicants for the Superintendent to recommend to the Board of Education.
Step 5: Recommended applicants may receive an official notification of employment and procedures required for new employees from the Human Resources staff.
Hired Employees Procedures
- A criminal record check must be completed within 10 days of the hire date.
- Applicants who do not hold a valid Georgia teaching certificate must apply within 10 days of the hire date.
- Verification of prior teaching experience must be supplied by new employees to establish the level of experience for payroll. Pay step will be based on verified experience and certification. Pay step increases for experience will be based on the date the verification is received and will not be retroactive to the beginning of the school year.

The Colquitt County Board of Education is committed to selecting the best-qualified applicants on the basis of training, experience, performance assessment, and recommendations from previous employers. The school district will recruit, select and hire on the basis of individual qualifications without unlawful discrimination from an applicant pool, which may reflect the available labor force for the positions available.
Recruitment of certified staff may be conducted at a variety of colleges and universities, including institutions with high minority enrollment to ensure full participation and involvement of men and women of diverse races and cultures. The Superintendent may continue to inform such colleges and universities of the desire to employ qualified faculty and staff.
Recruitment of classified staff will be conducted through district communication procedures in cooperation with community and government agencies.
